Job Description

Duties and Responsibilities:

  • Operate telephone console to receive and transfer calls to personnel designated by caller or nature of inquiry.
  • Receive visitors and contact personnel requested by visitors and announce visitor's presence.
  • Direct or arrange for escort of visitor to proper location in the office.
  • Update company voice mail recording as needed.
  • Retrieve and route voice mail messages that are left in general company voice mail box.
  • Maintain reception area and create greeting signs for the reception area as requested.
  • Update Communication Monitors for customer visits using the Sales calendar.
  • Ensure that reception area and switchboard are covered during regular business hours by coordinating with backups to confirm coverage for vacations, and break times.
  • Order flowers for hospitalization, and funerals. Order memorial checks if family requests memorial in lieu of flowers.
  • Assist with employee perks program by managing the local entertainment passes
  • Monitor the HR Service Center emails, route appropriately and respond when able; track topic and volume of requests
  • Respond to verbal employment verifications
  • Create employee folder labels, maintain filing in HR storage as needed
  • Assist with mailings as needed.

Education and Experience Requirements

  • Requires a high school diploma, Associates degree in Business Administration or Communications preferred
  • 1-3 Years of office experience required, previous experience within an HR department preferred.
  • Ability to interact effectively and professionally with diverse group of people.
  • Proficient in Microsoft Word, Excel, PowerPoint.
  • Demonstrated ability to work in face-paced, high volume environment.
  • Outstanding organization, time management, and follow-up skills.
  • High level of professionalism and independence.
  • Strong customer focus with excellent interpersonal skills
